Global Immigration and Mobility Manager (Remote Eligible)

We are looking for a Global Immigration and Mobility Manager to join our People Mobility Team. The Global Immigration and Mobility Manager is self-directed, detail-oriented, and assists the People Mobility Sr. Manager in the day-to-day operations of Okta’s People Mobility Programs

Responsibilities: 

  • Primary point of contact & Lead for Immigration program and immigration services
  • Hands on and proven track record of developing employment-based immigration processes and programs, while improving employee experience
  • Strong understanding and knowledge of current state of US immigration system, processes, and policy and regulations
  • Ability to handle complex immigration issues requiring in-depth evaluation of variable factors to present business solutions or approaches
  • Continually identify areas of redundancy or no-value add to ensure process, procedure, and staffing optimization:
    • Conduct Immigration assessments in partnership with recruiting and outside counsel ·
    • Initiation of US & Global immigration matters with immigration counsel ·
    • Follow up on documentation and questionnaires for case processes globally ·
    • Own PERM recruitment tasks such as review, signature and creation of employee folders and posting notices in partnership with People Operations Team
    • Manage monthly US & Global renewals and amendments ·
    • Prepare invitation letters supporting employee business travelers ·
    • Provide immigration counsel with updated employee job data for immigration matters
    • Lead Co. required tasks w/outside counsel regarding audit/RFE requests from U.S. DOL and USCIS
    • I-9 Re-verification program oversight and SME in partnership with People Operations
    • Manage ServiceNow Immigration tickets for employee questions, follow-up and case tracking/creation – as needed
  • Design a communication strategy to help ensure an excellent employee and stakeholder experience
  • Educate managers and business partners on US immigration and mobility policies and processes
  • Drive the development of internal playbooks, WIKI (intranet site), ServiceNow Knowledge-base, work transitions to people operations and special projects, in support of the People Mobility function
  • Obtains and shares legal guidance to HR, TA and the business ·
  • Designs and develops strategic immigration policy and process recommendations for program improvements
  • Manage immigration vendor service level agreements, reporting and status updates
  • Oversee complex immigration projects and programs, conduct risk and impact assessments to changes in immigration processing and regulations
  • Manages E2E immigration invoices and payment process, PO creation and annual budgeting
  • Supervise USCIS site visits if necessary
  • Requires minimal oversight and drives Okta’s Immigration program’s ROB (Rhythm of the business)

Minimum Requirements:

  • Bachelor's degree in HR/related business discipline OR equivalent to 5+ years in high-volume business (in-house) immigration.
  • Program management, process improvement, project management and/or improving customer experience.

Critical Skills:

  • Subject matter expert in U.S. Visa types, processes, and immigration law
  • Knowledge of global visas and processes
  • Knowledge of people mobility/relocation policies & processes
  • Must take initiative and demonstrate excellent judgment when making decisions and problem solving
  • Outstanding interpersonal, verbal and written communication
  • Exceptional time management; proactive with a strong sense of urgency
  • Adaptable and consistently and positively contributes in a fast-paced, quickly changing environment ·
  • Reliable, team-oriented, and have a positive, can-do attitude
  • Experience with Vendor Management
  • Data driven, with an analytical mindset as you will work with SLA’s against KPI’s
  • Experience working with applicant tracking systems (ATS), JIRA, Workday, Confluence a plus
