Payroll and Expense Specialist

Position Description:

Okta is hiring a Payroll and Expense Specialist to join our high-performing and growing Accounting Team. The Specialist will be responsible for a range of payroll/expense related activities including processing payroll, administration of the AMEX corporate card program, and maintenance of the payroll and expense inboxes. The right candidate has exceptional organizational skills, is proactive and possess stellar customer service and communication skills.  

Job Duties and Responsibilities:

  • Responsible for processing semi-monthly payroll
  • Updating and maintaining employee records, processing leaves and terminations, data entry and file imports (commissions, bonuses and 3rd party benefit vendors), review and validation of timecard entries, and review and balance preview payroll
  • Check and audit timekeeping records for compliance
  • Prepare, maintain, and audit employee personnel files and associated documentation to ensure accuracy and compliance
  • Maintain payroll mailbox and respond to employee’s inquiries and requests regarding payroll matters, timely and professionally
  • Process garnishment calculations and compliance
  • Process manual checks for terminated employees and other checks as needed
  • Load import files received from HR (All Companies)
  • Respond to expenses inbox and assist employees with guidance, information, and instruction with their travel and expense queries
  • Administer the AMEX corporate card program
  • Support offshore team with any travel and expense questions and processing
  • Enforce travel and expense policy with employees and escalate, as needed
  • Run weekly expense metrics
  • Assist on expense related projects

Required Skills:

  • 1-3 year’s experience in processing payroll using ADP or similar payroll systems.
  • 1-3 year’s experience and understanding of Concur Expense tool from user and administrative perspective
  • 3-5 year’s experience with Microsoft office, concentration on Excel spreadsheets.
  • Strong knowledge of payroll protocols, particularly with IRS regulations, Federal, State, and local tax and labor laws, as well as IRS Sections 401k and 125
  • Ability to maintain data confidentiality with a strong sense of professional integrity
  • Highly analytical with exceptional organization and prioritization skills, and proven ability to meet hard deadlines
  • Strong commitment to customer service and ability to communicate concisely, both written and verbally
  • Proactive, flexible, assertive, with a creative approach to problem solving.
  • Strong knowledge of the company T&E policy; ability to retain and understand intent of company policies
  • Ability to work closely with various teams throughout the company
