What are the primary operational benefits of Okta Workflows?

Okta Workflows is a no-code identity automation platform that eliminates manual IT tasks like user onboarding, offboarding, and license provisioning. By replacing custom scripts with event-driven, drag-and-drop logical flows, enterprises like Vimeo and Foursquare save more than 1,000 hours annually and achieve a 100% success rate on complex device migrations.

Add it up: More than 1,000 hours and $45,000 saved a year at Vimeo. At Foursquare, 250 devices migrated in nine days.

That’s what happens when IT and security teams stop treating identity busywork as the cost of doing business and start automating it away using Okta Workflows.

If you’re not familiar with Okta Workflows, it's a no-code automation feature inside the Okta Platform. Instead of writing custom scripts, IT and security teams can drag and drop to build "if this, then that" flows, triggered by events such as a new hire starting, a group membership changing, or an offboarding date approaching. That flow can reach into the Okta Platform itself or into other connected apps. It's the difference between manually juggling access, tickets, and provisioning, and having the system quietly handle it for you.

How Vimeo automated 95% of user offboarding to save $45,000 annually

Vimeo, the all-in-one video software platform, empowers more than 1,200 employees to help creators and Fortune 500 companies make and share impactful videos. Vimeo shared its journey to transform its user offboarding process, which had been a "manual, time-consuming burden." Every departure required their IT team to work through a 20-plus-step manual checklist, including critical security tasks such as resetting Google Workspace passwords, disabling two-factor authentication, and removing app-specific access. Each offboarding took more than 90 minutes.

A two-phased automation approach

The Vimeo team tackled the problem in two phases, using Okta Workflows to build a modular, resilient automation.

First, they created a single source of truth: They built a simple automation that searches Google Calendar every hour for termination events, parses the data, and feeds it into a master Okta Workflows table.

Second, with reliable data, the team built a sophisticated end-to-end process that runs "mostly hands-off”:

  1. Slack-based alert and approval: Instead of email, a workflow scans the master table for departures in the next 48 hours and sends an interactive alert to a Slack channel.
  2. One-click trigger: The IT team simply clicks "Approve" or "Deny" right inside Slack. This click instantly triggers the main orchestration workflow.
  3. Live log: As the offboarding begins, a "play-by-play" thread is started in a separate Slack log channel, showing every success and, more importantly, flagging any failure for immediate action.
  4. Resilient actions: Every critical action (like deactivating Google or Jamf) is wrapped in an "If Error" card. This means if one step fails, it's logged, and the main workflow continues to the next step, making the process incredibly robust.
  5. Smart cleanup: A "Final Actions" flow handles the last steps. It solves a major IT headache by finding "orphaned groups" (groups left without an owner) and creating a ticket to reassign them before they can break access requests.
  6. Final audit trail: The entire process concludes by creating a final Zendesk ticket, dynamically populated with the results of every single step, creating a permanent, honest record.

Crucially, the Okta deactivation is the very last step, ensuring that all other cleanup tasks that rely on an active account can be completed successfully.

The impact

By transforming their process from manual mayhem to automated efficiency, Vimeo's results are staggering:

  • 95% automated
  • 1,000+ hours saved annually
  • $45,000+ in annual cost savings

Vimeo now has more than 700 active workflows running approximately 30 million executions per month, proving how central automation has become to their IT strategy.

How Foursquare migrated 250 devices in nine days with zero disruption

Foursquare is the industry's leading geospatial technology platform. Their corporate engineering team operates on a simple philosophy: "If we do our jobs right, most people never notice us."

That’s a hard standard to hit during a mobile device management (MDM) migration. Foursquare needed to migrate 250 macOS devices from Jamf Pro to Fleet Device Management in just nine days with zero disruption to employees. “The risks were real: lag, rate limits, devices getting stuck in limbo,” the team explains. “Employees don't care about MDM servers … they just care that Zoom keeps working.”

Instead of stitching together disparate scripts and tools, Okta Workflows provided a single, holistic environment to orchestrate the entire lifecycle.

The strategy: One table to rule them all

The team built the architecture around a central Okta Workflows table. This served as the single source of truth, tracking every device’s status in real time—from serial numbers and assigned users to FileVault status.

The automation chain

The migration didn't rely on manual IT intervention. Here is how the automated flow worked:

  1. The trigger: When an employee clicked a "Migrate to Fleet" button on their device, a webhook was sent to an Okta Workflows API endpoint.
  2. The switch: Workflows immediately queued the device to unenroll from Jamf Pro.
  3. The cleanup: A "Jamf Removal" flow ran nightly to scrub any leftover binaries or scripts from the devices.
  4. The pit crew: Perhaps most impressively, the team built a "Broken Enrollment Fixer" flow. Acting like a Formula 1 pit crew, this self-healing automation identified unenrollments that got stuck and automatically retried them—fixing issues before a human ever had to intervene.

The impact

The results speak for themselves:

  • 100% success rate: All 250 devices migrated in nine days without a single failure
  • Zero downtime: Employee productivity remained unaffected
"It was the first migration where I didn't lose sleep."
- Corporate Engineering Senior Manager, Foursquare

Real automation, real results

These wins are scaling: Vimeo has 700 workflows, and Foursquare is expanding into full device lifecycle automation. Together, these two organizations proved something critical: identity automation doesn't just save time—it transforms how teams work.
