About the team
This team sits within the Total Rewards People team, and is tasked with ownership of Okta’s contingent workforce program. You’ll be joining an amazing organization full of talented HR professionals.
Role Overview
The People Team is seeking a highly organized and execution-driven Contingent Workforce Operations Specialist to provide critical operational support for our Contingent Workforce (CW) program and the newly established Vendor Management Office (VMO) for the People team.
In this role, you will manage the day-to-day coordination of contingent worker lifecycles while actively supporting a strategic, phased initiative to centralize and standardize vendor operations ahead of our Vendor Management System (VMS) launch in September 2026. This position focuses heavily on operational execution, process standardization, cross-functional coordination, and data tracking.
Key Responsibilities
1. Contingent Workforce Operational Support
- Lifecycle Management: Own the end-to-end operational lifecycle for tracking contingent workers, from initial request to offboarding.
- Onboarding & Tracking: Manage and execute the vendor onboarding process specifically for worker tracking, ensuring compliance and data integrity.
- Interview Coordination: Partner with hiring managers and vendors to seamlessly schedule and coordinate interviews for contingent talent.
- Market Data Analysis: Run and analyze market rate data to support hiring managers with competitive pricing and budgeting decisions.
2. VMO Program Execution & Support
- Operational Process Design: Support the CW Program Team in designing, testing, and standardizing vendor intake and lifecycle workflows.
- Pilot Participation: Actively support the initial operational pilot with the Benefits Team to validate workflows, centralize contracts, and track compliance.
- Data Migration & Centralization: Assist in building interim central contract repositories and compliance tracking mechanisms, preparing data for eventual migration into the VMS.
- VMS Readiness (Pre- & Post-September 2026 Go-Live): Help document requirements to inform VMS configuration. Post-launch, support the operational maintenance of centralized vendor profiles and compliance tracking within the system.
3. Stakeholder & Partner Coordination
- Serve as an operational point of contact for day-to-day vendor inquiries and internal team requests.
- Coordinate and maintain tight operational workflows with key cross-functional partners, including Procurement (for net-new engagements and extensions), Third-Party Risk Management (TPRM) (for compliance and due diligence), and Finance.
Qualifications & Skills

- Experience: 3+ years of experience in human resources, procurement, talent acquisition, or vendor operations, with a specific focus on contingent workforce support.
- Systems & Tools: Familiarity with Vendor Management Systems (VMS) and procurement platforms (e.g., Scout) is highly preferred.
- Operational Excellence: Proven capability to handle high-volume transactional tasks (interview scheduling, tracking, onboarding) with extreme attention to detail.
- Process Mindset: Ability to operate comfortably in an ambiguous environment during a phased platform transition (pre- and post-system launch).
- Collaboration: Strong communication skills to effectively interface with global hiring managers, external staffing vendors, and internal teams like Procurement and Finance.
